How the first 90 days with Averan work
Updated 16 October 2026
The short answer
The first 90 days move in four steps: access, setup or cleanup, the first close, and the first review. By day 90 your books close by the 15th of each month, your royalties tie to the franchisor’s statement, and you have a profit and loss for each location.
Days 1 to 10: access
We ask for read-only or accountant access to each system. Nothing changes in how you run the business that week.
| System | Access we ask for |
|---|---|
| Bank and credit card accounts | Read-only access or monthly statements |
| Accounting software | Accountant user, with the subscription kept in your name |
| Payroll | Report access |
| Point-of-sale and scheduling | Report access for sales, usage and deposits |
| Franchisor portal | Access to royalty statements and required reports |
| Loans and leases | Statements and payment schedules |
| Sales tax accounts | Filing history |
We also collect the franchise agreement, last year’s tax return and any notices from tax agencies.
Days 10 to 30: setup or cleanup
- The chart of accounts is matched to how your brand reports.
- Bank, card and payroll feeds are connected.
- Gross sales are set up the way your agreement counts them, so royalties tie out.
- Memberships, packs, gift cards and deposits are set up as balances the books can track.
- If the books are behind or wrong, cleanup runs as a separate fixed project before the first close.
Days 30 to 60: the first close
| Day of the month | What happens |
|---|---|
| 1 to 5 | Statements arrive and feeds are checked |
| 5 to 10 | Transactions are coded and accounts reconciled |
| 10 | One batch of questions goes to you |
| 15 | The books are closed and the report is sent |
The report includes a profit and loss for each location, the balance sheet, cash at month end, the royalty and ad fund check, and a short note on what changed.
Days 60 to 90: the first review
By the third close the numbers have a baseline. We go through them with you, agree what to watch each month, and set the questions the report should answer.
What usually breaks, and how it gets fixed
- Bank feeds disconnect. We catch it in the first week of the month and ask you to reconnect, which takes a few minutes.
- Point-of-sale reports do not match deposits. Card processing fees, tips and refunds are separated so sales and deposits tie.
- Royalties do not match the franchisor’s statement. The difference is traced to the gross sales definition and fixed in the setup.
- Receipts are missing. Questions come once a month in one batch, never one at a time.
What happens to your current bookkeeper
Some owners keep their bookkeeper for daily entry while Averan runs the close and reporting. Others move everything. Either way, the handover happens in the first month, with one list of open items, so nothing falls between two firms.
What you will do
- Grant access in the first week.
- Answer one batch of questions each month.
- Read a report that takes about ten minutes.
- Meet with us after the third close.

Questions
Do I need to change software?
Usually not. We work in QuickBooks Online and the systems you already use, and only suggest a change when the current setup stops the books from closing on time.
Who owns the accounting software and the data?
You do. The subscription stays in your name, and we work in it as your accountant user.
When is the first report?
By the 15th of the month after the first full month we work on.
